Practical data handling for your AI receptionist.

This page explains how RecepFlo treats customer data in the current pre-launch product. It is written for business buyers, not as a substitute for a signed legal agreement.

Your customer data

Your business owns the customer records, booking details, and conversation history created through RecepFlo. We use that information to answer enquiries, manage bookings, support handoffs, and keep the dashboard useful for your team.

Conversation transcripts

Voice, chat, SMS, and WhatsApp conversations may create transcripts or message history so your team can review bookings, resolve handoffs, and improve the AI knowledge base.

Service providers

RecepFlo may process data through infrastructure, voice, messaging, calendar, email, analytics, and AI providers that are needed to deliver the service. Provider access is limited to the work required to operate those features.

Team and admin access

People with access to your account may be able to view customer conversations, bookings, handoffs, settings, and business configuration. Keep team access limited to people who need it.

Retention and deletion

Retention controls are still being formalized for the pre-launch product. If you need data exported, corrected, or deleted, contact the RecepFlo team so the request can be handled manually.

Healthcare and regulated data

RecepFlo should not be treated as HIPAA, GDPR, or industry-compliance-certified unless you have a signed agreement and confirmed operational controls in place for your specific use case.

Need a formal policy or data agreement?

Ask before sending sensitive production traffic through RecepFlo. Regulated industries may need specific contracts, retention settings, access controls, and provider agreements before going live.
